1. Who We Are

The AI Dinner Club (aidinner.co.uk) is operated by Digital Entrepreneur Ltd, based in the United Kingdom. We organise exclusive monthly dinners for AI founders, operators and investors.

2. What Data We Collect

We collect the following personal data when you register, book an event, or become a member:

  • Full name and email address
  • Job title, company and LinkedIn profile URL
  • Short biography (optional, for your member profile)
  • Dietary requirements (for event attendance)
  • Payment information (processed by Stripe — we do not store card details)
  • Event attendance history and ticket records
  • Membership status and subscription details

When you attend as a speaker, we additionally collect your presentation topic, speaker bio, and availability for the event programme.

For marketing, we also process limited business contact details — such as name, business email address, job title and company — of business professionals we believe may be interested in our events. This information is obtained from publicly available sources and reputable business-data providers, and is used for B2B marketing as described in section 5.

3. How We Use Your Data

We use your personal data to:

  • Create and manage your member account
  • Process event bookings and membership payments
  • Send event confirmations, reminders and recaps
  • Manage your seat, dietary requirements and guest invitations
  • Display your profile in the member directory (if you are an active member)
  • Administer speaker profiles and event programmes
  • Comply with legal and financial obligations

Our legal basis for processing is contract performance (managing your membership and bookings) and legitimate interests (running the club and communicating event information to attendees).

4. Third-Party Services

We share data with the following trusted third parties solely to operate the service:

  • Stripe — payment processing and subscription management. Your card details are held by Stripe, not us. See stripe.com/gb/privacy.
  • Firebase / Google Cloud — authentication, database and file storage for your account and event data.
  • Resend — transactional email delivery (confirmations, reminders, invitations).
  • Google Calendar API — creating calendar invites for speakers and attendees where requested.
  • Konnexsion Property Ltd (AI Workbook) — our event-management and seating platform. We share limited business details of attendees and guests (name, job title, company, LinkedIn/professional profile, booking and attendance status, event preferences, and how you heard about the event) so we can manage bookings, plan table seating, and tailor relevant introductions. Konnexsion acts as our data processor under a data processing agreement and may only use this data to provide the service to us. See konnexsion.com.

The AI Workbook platform uses third-party AI provider APIs — OpenAI, Google Gemini and Anthropic Claude — to assist with seating allocation, summaries and event engagement, and may enrich attendee profiles using LinkedIn and publicly available professional sources. These providers process data under standard API terms, and your data is not used to train their models. Core data is hosted in the UK (AWS, London) with email processing in the EU (AWS SES, Dublin); any transfers outside the UK are protected by UK adequacy regulations, the UK–US Data Bridge, or Standard Contractual Clauses.

We do not share dietary requirements, allergies, or any other special-category or health information with Konnexsion or its AI providers — that information is used only by us and the event venue.

We do not sell your personal data to any third party.

5. Email & Marketing Communications

By registering or booking, you agree to receive transactional emails related to your account and events. These include:

  • Booking and payment confirmations
  • Event reminders and venue details
  • Dietary requirement requests
  • Event recaps and post-dinner content
  • Membership notifications and badge awards
  • Guest and VIP invitations you initiate

Transactional emails are sent from noreply@aidinner.co.uk. You may contact us to opt out of non-essential communications at any time.

We also carry out business-to-business marketing — by email and similar channels — to promote our events and this website to business professionals who may be interested but are not yet members. Our lawful basis for this is legitimate interests under UK GDPR, and we send it in line with the Privacy and Electronic Communications Regulations (PECR) rules for corporate subscribers.

Every marketing email includes an unsubscribe link. If you opt out we add your address to our suppression list and stop sending you marketing. You can also object at any time by emailing duncan@digital-entrepreneur.com, and we will stop.

6. Cookies and Analytics

We use browser local storage to maintain your authenticated session via Firebase Authentication. This is essential to the operation of the site and is not used for tracking.

With your consent, we use analytics and marketing cookies and similar technologies. We use Google Analytics 4 to understand how visitors use the site (such as which pages are viewed) so we can improve it, and marketing cookies to measure the performance of our campaigns and understand which sources bring visitors to the site.

These non-essential cookies are only set after you accept via our cookie banner. If you decline, they are not stored and Google Analytics operates in a privacy-preserving consent-denied mode. You can change your choice at any time by clearing your browser's site data.

We do not sell your personal data. We take care not to send personally identifiable information to Google — identifiers such as access tokens and payment session references are redacted from the page addresses reported to Analytics.

7. Data Retention

We retain your account data for as long as your membership is active. If you cancel your membership or request deletion, we will remove your personal profile data within 30 days. Booking and payment records may be retained for up to 7 years for accounting and legal compliance purposes.

8. Your Rights

Under UK GDPR, you have the right to:

  • Access — request a copy of the personal data we hold about you
  • Rectification — ask us to correct inaccurate data
  • Erasure — request deletion of your data, subject to legal retention requirements
  • Portability — receive your data in a structured, machine-readable format
  • Objection — object to processing based on legitimate interests
  • Restriction — request that we limit how we process your data

9. Security

All data is stored on Google Cloud infrastructure with encryption at rest and in transit. Authentication is handled by Firebase Auth. Payment data is handled exclusively by Stripe and never touches our servers. Access to member data is restricted to authorised administrators only.

10. Changes to This Policy

We may update this policy from time to time. The date at the top of this page reflects the most recent revision. Continued use of the site following any changes constitutes acceptance of the updated policy.
